How does the concierge service work?

See how WhatsApp-first support, phone reception, callbacks, app bookings and local coordination work.

Quick answer

The Concierge helps travellers, companions and local partners organise a supported stay. WhatsApp is the main channel, with app bookings and phone reception. The service is not an emergency service, medical provider, nursing service, insurer or travel agency.

Important limits

The Concierge can help with orientation, communication, bookings, coordination and practical questions. It cannot diagnose, treat, prescribe, approve insurance claims, provide emergency rescue, replace airport assistance, replace professional care, guarantee medical outcomes or act as a necessary companion when the traveller cannot safely travel alone.

In urgent medical situations, local emergency services, hospitals, doctors and insurers must be contacted directly. The Concierge can help structure communication and orientation, but it is not an ambulance, emergency dispatcher or hospital.

Questions to check

Open the questions below to understand how the Concierge service, WhatsApp support, app booking, Emma phone reception, callbacks, outcalls and local coordination work together.

What is the Care Collective Concierge?

The Concierge is the practical support layer between the traveller, local partners, accommodation, transport, medical facilities, everyday services and — where agreed — travelling companions or trusted contacts.

It helps turn unclear situations into practical next steps. Instead of leaving travellers to search alone, explain everything repeatedly or manage local language barriers under stress, the Concierge can help sort questions, request information, coordinate services and explain what is included, excluded or still uncertain.

The Concierge may help with:

  • local orientation in Klong Muang, Ao Nang and the wider Krabi start region;
  • arrival coordination and hotel communication;
  • questions about transfers, restaurants, pharmacies, clinics, activities or local services;
  • booking add-ons or local services through the app or support channels;
  • explaining needs to local partners;
  • reducing language barriers;
  • helping separate everyday questions from medical, insurance, care or emergency questions;
  • supporting companions who travel with a person with limitations.

The Concierge is not a luxury hotel concierge. It is a practical care-and-travel support layer for people who need more clarity, coordination and local understanding.

Why is the Concierge WhatsApp-first?

WhatsApp is intended to be the main support channel because it is familiar, fast and works well for short practical questions, location sharing, photos, confirmations, reminders and links.

WhatsApp support can help with:

  • quick questions during the stay;
  • confirming booking details;
  • sharing pickup points, times or contact information;
  • sending photos of accessibility details or local situations;
  • clarifying hotel, transport or restaurant questions;
  • preparing a callback when a message is not enough;
  • keeping relevant trip information connected to the traveller’s support profile.

WhatsApp support is not an emergency line. If a person has severe symptoms, injury, breathing problems, chest pain, loss of consciousness, acute confusion or another urgent medical issue, local emergency services or medical providers must be contacted first.

Can services be booked through the app?

Yes. The app is intended to make local services and add-ons easier to book without forcing every guest to contact a person for simple requests. Travellers should be able to book suitable services directly where the service is clearly described, available and appropriate.

The important point is that app bookings, WhatsApp Concierge support and phone support should use the same relevant journey information. A traveller should not have to start from zero just because they switch from app to WhatsApp or from WhatsApp to phone.

App bookings may be useful for:

  • transport requests;
  • local assistance or outcalls;
  • activities or add-ons;
  • appointment-related support;
  • restaurant or service requests;
  • repeat bookings during a longer stay.

The app is for clear booking flows. The Concierge is there when the question needs context, clarification or human support.

What is Emma phone reception?

Emma is the Care Collective phone reception. It is designed as the free phone route into Care Collective for general questions, booking requests and structured first contact. Emma should not feel like a classic telephone menu.

Guests should be able to speak naturally, as they would with a person, and Emma can use the available Care Collective information to guide the conversation.

Emma can help with:

  • answering general Care Collective questions;
  • taking booking requests;
  • collecting relevant information before a human callback;
  • helping callers understand which service category fits their question;
  • preparing follow-up by the Concierge team;
  • reducing waiting time for simple information;
  • keeping questions structured instead of forcing callers through a rigid menu.

When questions and booking requests are handled through Emma, this phone reception route is intended to be free for the guest. Paid services may still begin after a booking is confirmed, after extra support is requested or when a human callback, urgent callback, outcall or third-party service is needed.

Emma is not a doctor, nurse, emergency dispatcher, insurer or crisis service. Emma cannot diagnose, assess medical urgency, approve insurance, replace emergency services or provide personal care instructions.

Can I ask for a callback or to speak with a person?

Yes. A traveller can tell Emma that they want a callback appointment or that they want to speak with a member of the Care Collective team. In most non-urgent situations, this will usually become a scheduled callback so the team can respond with the right context instead of rushing into an unclear call.

Callback support may be useful when:

  • the question is too complex for a short message;
  • several services need to be coordinated;
  • the traveller or companion is unsure what to book;
  • medical, care, mobility or accessibility questions need to be separated clearly;
  • a relative or travelling companion needs practical orientation with the traveller’s consent;
  • the situation needs a human conversation before a decision is made.

A callback appointment is often the cleanest option because it gives the team time to check details, prepare information and avoid giving rushed or incomplete answers.

What happens in urgent callback situations?

In urgent non-medical support situations, the caller may request an urgent callback. This should trigger a higher-priority alert inside Care Collective so the team can respond as quickly as possible.

Urgent callback may be useful for:

  • serious transfer problems;
  • arrival confusion where the guest cannot reach the arranged service;
  • major hotel communication problems;
  • a traveller being overwhelmed and needing immediate practical sorting;
  • time-sensitive coordination with a local provider;
  • situations where a normal scheduled callback would be too slow.

Urgent callback is not medical emergency response. If there is a medical emergency, the traveller or companion should contact local emergency services, a hospital, a doctor or the insurer’s emergency assistance line first.

Urgent callbacks may carry a small separately defined surcharge because they interrupt normal support workflows and trigger immediate internal attention. The exact price should be defined clearly before launch.

Why do international guests receive a SIM card?

International guests should be reachable and able to reach their people. That is why Care Collective can include a local SIM card or communication setup for foreign guests where this is part of the service model.

This can help with:

  • using WhatsApp support reliably;
  • contacting local services;
  • receiving pickup or booking updates;
  • contacting travelling companions or relatives;
  • using maps and translation tools;
  • reducing stress after arrival;
  • making sure the traveller is not dependent only on hotel Wi-Fi.

Thai guests or guests with an existing Thai SIM may not need the same SIM structure. In those cases, the communication setup can be adapted instead of adding something unnecessary.

The goal is simple: the traveller should be reachable, able to reach support and able to contact important people during the stay.

What can Concierge support do before arrival?

Before arrival, Concierge support can help reduce uncertainty by preparing the practical parts of the stay. This is especially useful when the traveller has mobility needs, medication questions, language barriers, chronic illness, care needs or limited energy.

Before arrival, the Concierge may help with:

  • collecting basic travel and support information;
  • checking arrival time, flight number and transfer needs;
  • preparing hotel communication;
  • confirming accessibility or room-related questions where possible;
  • helping structure medication, document or emergency-contact questions;
  • preparing WhatsApp contact and communication setup;
  • noting whether a SIM card or local communication setup is needed;
  • clarifying whether a callback, outcall or additional service may be useful.
What happens on arrival in Krabi?

Arrival is often one of the most stressful moments of a supported stay. The guest is tired, the climate is different, the language may be unfamiliar and small problems can quickly feel bigger than they are.

Arrival support in the Klong Muang, Ao Nang and Krabi start region may include:

  • transfer coordination;
  • communication with the driver or hotel where needed;
  • support if pickup information is unclear;
  • basic local orientation after arrival;
  • WhatsApp check-in;
  • SIM or communication setup where included;
  • making sure important contacts are available;
  • helping the traveller keep the first day calm instead of overloaded.

For health-limited travellers, arrival should be treated as a transition and recovery moment, not as a normal holiday day.

What can the Concierge help with during the stay?

During the stay, the Concierge can help with practical coordination and everyday questions. The goal is to reduce confusion, not to take over every decision.

During the stay, support may include:

  • questions about local services;
  • restaurant, pharmacy, clinic or transport orientation;
  • help with app bookings or add-ons;
  • communication with local providers;
  • support around appointment timing;
  • coordination with transport partners;
  • clarifying what is included in a package;
  • helping decide whether a question is practical, medical, insurance-related, care-related or urgent.
What are outcalls?

Outcalls are on-site visits or local check-ins by a Care Collective person or partner where this is available, booked and suitable. They can be useful when a situation is difficult to solve through WhatsApp or phone alone.

Outcalls may help with:

  • clarifying a local problem in person;
  • helping with hotel or service communication;
  • checking a practical situation on-site;
  • supporting a guest who is overwhelmed by local processes;
  • helping a companion understand what should happen next;
  • bridging language or coordination gaps.

An outcall is not automatically personal care, nursing care, medical examination or emergency rescue. The task, availability, price and limits must be clear before the visit is relied on.

Does Concierge support help relatives or companions?

The Concierge is not a “family reassurance service” and should not be presented as a monitoring service for relatives. However, it can make the stay easier for relatives or companions who travel with a person who has limitations.

Support for travelling companions may include:

  • help understanding local processes;
  • support with bookings, transport or appointments;
  • clarifying where to get practical or medical help;
  • helping reduce language barriers;
  • explaining what the Concierge can and cannot do;
  • supporting communication where the traveller has agreed.

Information about a traveller should only be shared with relatives or companions where the traveller has agreed, where the companion is part of the support plan or where a valid emergency or legal basis applies.

When is Concierge support not enough?

Some situations require medical, nursing, emergency, legal, insurance or professional care support instead of Concierge support.

Concierge support may not be enough when there is:

  • a medical emergency;
  • severe pain, breathing problems, chest pain or loss of consciousness;
  • a fall with possible injury;
  • acute confusion or sudden deterioration;
  • a medication problem with medical risk;
  • a mental-health crisis;
  • need for personal care or nursing care beyond the booked support;
  • need for 24/7 supervision;
  • insurance approval or legal decision-making;
  • hospital admission, discharge planning or repatriation.

In these situations, the right next step may be a doctor, hospital, emergency service, insurer, professional care provider or trusted emergency contact — not the Concierge alone.

Concierge service levels

Care Collective can make support easier to understand by naming service levels clearly. The exact details and prices should always be checked in the current booking information, but the basic idea is that different travellers need different levels of support.

Basic

Basic orientation and limited support for guests who mostly manage independently but want a clear contact point for simple questions and local orientation.

Standard

More active WhatsApp and coordination support for guests who expect regular questions, local bookings or practical help during the stay.

Premium

Higher support availability for guests who need more reassurance, more coordination and a stronger local support layer, without turning the Concierge into medical or nursing care.

Outcalls

On-site visits or local check-ins where available and booked, useful when a situation cannot be solved well through WhatsApp or phone alone.

Long-Term Support

Recurring support for longer stays, repeat guests, seasonal residents or travellers who need a stable local contact over time.

Emma phone reception

Free structured phone reception for general questions and booking requests, with callback options when a human conversation is needed.

Service level names should not create false expectations. Personal care, nursing care, medical care, emergency response, transport, third-party services and urgent callbacks may have separate rules, prices and availability.

Local start region: Klong Muang, Ao Nang and Krabi

Care Collective starts locally, not as a disconnected call center. Klong Muang, Ao Nang and the wider Krabi region are the first practical network area where accommodation, transport, restaurants, pharmacies, clinics, medical contacts, local partners and support services can be connected step by step.

The local Concierge role may include:

  • building a clearer network of trusted local contacts;
  • helping hotels and partners understand traveller needs better;
  • connecting transport, accommodation, activities and medical orientation;
  • reducing language and expectation gaps between travellers and local providers;
  • making accessibility and assistance needs more visible;
  • supporting a more reliable local care-and-travel ecosystem over time.

The long-term goal is not only to answer individual questions. It is to make supported travel easier for the traveller and more understandable for the local community.

Concierge checklist before travel

Use this checklist before relying on Concierge support during a supported stay.

  • Confirm which package applies: Basic, Standard, Premium, Long-Term Support or another arrangement.
  • Check whether WhatsApp is working before arrival.
  • Confirm whether a local SIM card or communication setup is included.
  • Save the Concierge contact offline.
  • Clarify whether app bookings, WhatsApp support or Emma phone reception should be used first.
  • Share arrival time, flight number and transfer details where relevant.
  • Prepare emergency contacts, medical documents and insurance details.
  • Clarify who may receive information about the traveller.
  • Clarify what the Concierge can and cannot do.
  • Clarify whether outcalls, urgent callbacks or additional support may cost extra.
  • Do not use Concierge support as a substitute for emergency services or medical care.

The Concierge works best when expectations are clear before arrival: what is included, what is extra, what is medical, what is urgent and what must be handled by another provider.

Costs and what is included

Reading this article and using the Care Knowledge Library is free. Emma phone reception is intended as the free phone route for general questions and booking requests handled through Emma.

Costs may arise when a guest books a package, requests human callback support beyond the free reception workflow, asks for urgent callback priority, books an outcall, uses additional phone time, requests personal coordination, books local services, arranges transport, uses external providers or needs medical, nursing or care services.

The exact pricing for urgent callbacks, outcalls, additional support time and third-party services should be defined clearly before launch and shown transparently before the guest relies on the service.

Free phone reception does not mean every service is free. It means the initial structured phone route through Emma can be used without forcing the guest into paid support before the actual need is understood.
